
Woodgate Clubhouse Reservation and Rules

General
The clubhouse may be reserved for private functions by members of the association or their leasee. The Clubhouse may be reserved without charge other than refundable security deposit of $250 for cleaning.
Woodgate member or their leaser may use the clubhouse, subject to the following rules:

All guests are the responsibility of the member who has rented the clubhouse.

Parties, guests and noise levels must be controlled at all times to adhere to the peace and comfort of all residents.

No smoking in the Clubhouse

No decorations to be added to the walls

The Woodgate sponsoring member must be present at all times during the activity.

Use of the fireplace is prohibited

The pool will remain open to all residents during rental
Fees and Reservation process

There is no rental fee for use of the clubhouse. However, a refundable security deposit of $250 for cleaning will be charged

To reserve the clubhouse:

Make sure you are part of woodgate-svl@googlegroups.com. If not, fill out this resident information form to request to be added to it, and wait for that to be done before proceeding further.

Check this clubhouse calendar to ensure that the clubhouse is available at the time you want to reserve it.

A board member will contact the requester for exchanging keys to the clubhouse and cleaning deposit check

A board member will accompany the requester before and after the activity to verify the condition of the clubhouse. The security deposit will be returned if no damage is determined to have occurred. If any damage is identified, the security deposit will be retained by the Woodgate Homeowners Association and the resident shall be responsible for either fixing/repairing the damage or will receive a bill for having the damage repaired.

Apart from damages, if the clubhouse and restrooms are left in any condition other than the original form, a charge of up to $250 may be assessed for proper cleaning, trash removal, etc.

Reservations should be submitted at least 10 days prior to the event

As a courtesy to other residents, cancellations must be done prior to 72 hours of the scheduled event.

First priority of the clubhouse is official functions and activity of Woodgate BOD or committees.
Checklist
When you are done, Please don’t forget to:

Cleanup all garbage

Return all furniture and equipment to where they were before (you can take a picture before)

Close and lock windows
-
Close all blinds
-
Turn off A/C
-
Turn off lights and table lamps
-
Pick up your personal belongings
-
Lock the doors (also the restrooms)
